Position: Office Administrator
Department: Human Resources
Reports To: Head of People and Culture
RESPONSIBILITIES & DUTIES
- Keeps records of all company legal documents, certificates and registrations
- Sets up and maintains paper/electronic filing systems for records and correspondence
- Keeps stock of all office supplies and places orders where necessary
- Manages front desk by taking external phone calls, managing post and couriers
- Greets visitors and directs them to the appropriate persons
- Gives information over the phone, takes messages and transfers calls accordingly
- Acts as a Personal Assistant to all directors of the company
- Drafts documents to be sent to various ministries, government offices, etc.
- Manages the office petty cash and liaises with Accounting for payments of suppliers
- Arranges the car parking facilities for the employees within the building
- Arranges traveling (e.g. Visas, Airplane tickets, Hotel booking) for directors, visitors and employees of the company
- Oversees the company Time and Attendance reports
- Posts all job vacancies online through the appropriate channels and updates the social media career pages
- Co-ordinates internal and external conferences and meetings
- Maintains confidentiality of documents and information received
- Assists with the induction process for new employees
- Carries out any further duties assigned by their line manager
- Contributes to a positive and dynamic working environment.
REQUIREMENTS
- College diploma or diploma in secretarial skills
- Minimum 2 years’ experience
- Experience in a company with an international reach preferred
- Excellent verbal and written communication skills in Greek and English
- Impeccable organizational skills with attention to detail
- Able to work in a fast paced environment and multi-task
