JOB PURPOSE

The Assistant Front Office Manager supervises front office team members to ensure efficient and smooth operations for producing excellent feedbacks and guest satisfaction. Responds in a professional and courteous manner to guests by providing accurate and timely information and services.

S/he will undertake the effective development, management and leadership of the department’s human resources, equipment and provisions and will be pro-active in maintaining and/or improving the department profitability in accordance with Hotel policies, procedures and standards.

S/he will also ensure hotel charges are processed diligently to guest’s accounts, invoices are accurate, billing instructions are verified, all necessary supporting bills and vouchers are attached for direct settlements.

DUTIES & RESPONSIBILITIES:

  • To understand who are the customers, both external (Hotel guests) and internal (all Hotel employees), their expectations and needs, establish and maintain relationship/rapport through service and over the long term.
  • To know, implement and participate in the Hotel’s vision and objectives as described in the written procedures of the Hotel.
  • To seek and action customer feedback at every opportunity and learn from complaints.
  • To ensure the actions, duties and opening and closing duties are carried out in accordance with the pre-set procedures.
  • To provide a friendly, courteous and professional service at all times.
  • To perform the duties with maximum efficiency and in the most productive manner, following the department’s induction and training program and do not hesitate to ask questions regarding the execution of her/his duties.
  • To deputise, assist and support the Front Office Manager in his/her duties.
  • To ensure the daily supervision of all subordinates ensuring that their actions, duties and opening & closing duties are carried out in accordance with the pre-set procedures.
  • To ensure that all department logbooks/checklists are updated daily and signed.
  • To demonstrate thorough knowledge and ability in the execution of all required daily Front Office work as well as the steps of the customer journeys during operational hours.
  • To check arrivals and departures of the day as well as those of the following day with the help of the supporting documentation.
  • To monitor the reservations for deviations from the department’s and company’s budget.
  • To supervise the state and ready-time of all the arrivals rooms, and ensure the smooth arrival and welcome of all guests.
  • To sense guest needs and quickly respond to maximum satisfaction.

REQUIRED QUALIFICATIONS AND SKILLS:

  1. Minimum of 2 years of experience in a similar position of another 4 or 5 star hotel
  2. Graduate of a Hospitality Management School
  3. Very good command of the English and Greek languages. An additional foreign language will be considered as an advantage.
  4. Pleasant and friendly personality, fair, reliable and polite.
  5. Very good communication skills
  6. Very good organization Skills
  7. Character distinguished by open-mindness, dynamic
  8. Abilities to plan, organize, coordinate, supervise and manage
  9. Computer literate and familiar with Word and Excel and PMS
  10. EU citizen or an EU Work Permit Holder
