Overview of the role: We are seeking to recruit a well organised and efficient administrator to manage the reception area of the premises. The person will provide administration support to both Elite Cat Hotel and also Elite Pet Relocation.
Duties (will include but are not limited to):
- To meet & greet customers entering the premises.
- Direct cat hotel customers to the relevant cat hotel section & notify cat hotel team
- Welcome relocation customers to the meeting area and notify the relevant case worker
- Stock take of cat hotel supplies providing regular reports to cat hotel manager
- Ordering of items & supplies for the cat hotel
- Printing of forms for cat hotel such as check in overview and medication reports
- Regular printing of arrival and departure reports for cat hotel
- Taking payments from all cat hotel customers & preparing invoices on Xero
- Co-ordinating deliveries of cat hotel supplies, ensuring items are put away and amount of goods received is correct
- Take phone calls in relation to the cat hotel on behalf of cat hotel manager
- Take note of bookings, check availability, note cancellation bookings
- Stock take and ordering of office supplies such as stationery
- Stock take and ordering of cleaning supplies from Unicare
- Monitor & co-ordinate annual servicing of fire extinguishers
- Monitor & co-ordinate annual servicing of air conditioning units
- Working alongside Director to co-ordinate vehicle insurance policies and maintenance
- Oversee office cleaner ensuring office is cleaned well
- Stock take & ordering of flight travel crates ensuring good stock levels
- Provide accounts administration to Director including scanning of receipts and data entry of accounting information
- Any other ad-hoc duty requested by either Directors of the company
Person specification:
- Excellent customer service & administration skills
- Ability to develop and maintain excellent relationships with external agencies & customers
- Intermediate use of Microsoft Outlook, Excel and Word
- Good typing skills
- Efficient in the use of social media, i.e. Facebook, Instagram
- Excellent written and spoken English (essential) – Greek or Russian language are an advantage
- Reliable, punctual with good timekeeping
- Animal lover – able to meet a variety of dogs coming into the premises
- Full driving licence with own vehicle to get to Livadia, Larnaca on a daily basis
