We are looking for a conscientious front desk manager to oversee the front desk operations of our business. In this role, you will be required to greet and welcome guests, tend to their questions and complaints, manage booking and appointment schedules, and ensure that the reception area is professionally maintained.
To be a successful front desk manager, you should possess strong time management and organizational skills and be financially minded. A top-notch front desk manager should provide exceptional customer service and strong leadership skills.
Responsibilities
- Receiving visitors at the front desk by greeting, welcoming, directing and announcing them appropriately
- Answering screening and forwarding incoming phone calls
- Receiving and sorting daily mail
- Ensure the front desk is tidy and has all necessary stationery and material (e.g. pens, forms and informative leaflets)
- Ensure timely and accurate customer service
- Handle complaints and specific customer requests
- Troubleshoot emergencies
- Monitor stock and order office supplies
- Provide basic and accurate information in person and via phone/email
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
- Update calendars and schedule meetings
- Arrange travel and accommodations, and prepare vouchers
- Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
- Keep track of colleagues’ time cards
Requirements and skills
- Proven work experience as a Front desk manager or Reception manager
- Hands-on experience with office machines (e.g. fax machines and printers)
- Thorough knowledge of customer service and office management
- Proficiency in English (oral and written)
- Solid knowledge of MS Office, particularly Excel and Word
- Excellent communication and people skills
- Good organizational and multitasking abilities
- Problem-solving skills
- High School diploma; additional certification is a plus
- Excellent communication and teamwork skills
- Ability to work under pressure
- High ethical and moral compass
- Strong attention to detail and good analytical skills
Benefits
- Flexible working hours between 8:00 am to 5:00 pm
- 21 days annual leave
- Remuneration is on a monthly rate depending on qualifications and other professional experience.
